Man Van Newcastle ("we", "us") is committed to protecting your privacy and handling your personal data lawfully and transparently, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This notice explains what we collect, why, and what your rights are.
Who we are

What we collect
We only collect what we need to quote for and carry out your move. That typically includes: your name; your contact details (phone number and email address); the addresses you are moving from and to; the date of your move; and details about the items or services involved. If you contact us by email or through our form, we keep that correspondence.
How we use it
We use your information to respond to enquiries, prepare quotes, arrange and carry out your move, keep you updated, issue invoices and keep proper business records. Our lawful bases are: taking steps at your request before entering a contract, and performing that contract; our legitimate interests in running and improving our business; and, where required, complying with our legal obligations.
Our contact form
Our quote and contact forms are provided by Cognito Forms, a third-party form service. When you submit a form, the information you enter is processed by Cognito Forms on our behalf and passed to us by email. Please see Cognito Forms' own privacy policy for details of how they process data. We only use the information you provide to respond to your enquiry.
Sharing your information
We do not sell your data, ever. We only share it where necessary to deliver our service or meet a legal duty — for example with our form provider, our email provider, or our accountant. Any third parties who process data for us are required to keep it secure and use it only for the purpose we specify.
How long we keep it
We keep enquiry information only as long as needed to deal with your request and for a reasonable period afterwards in case you get back in touch. Records relating to completed jobs and invoices are kept for as long as the law requires (generally six years for financial records), then securely deleted.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you; to have inaccurate data corrected; to have your data erased in certain circumstances; to restrict or object to processing; and to data portability. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you are unhappy with how we have handled your data.
Cookies
Our own website uses minimal cookies and does not run advertising trackers. Embedded third-party content, such as our Cognito Forms and Google Maps, may set their own cookies when it loads; you can control cookies through your browser settings.
